• Answer telephone calls / faxes.
• Work with couriers. Pick up correspondence at post office.
• Outgoing correspondence and parcels.
• Organize passes to the territory of business center for employees, company cars and guests.
• Supervise delivery by employees of documents for archiving.
• Organize office furniture and facilities purchasing.
• Organize purchase of stationary, equipment and other material valuables, control their rational use.
• Together with finance department conduct annual inventory of capital goods.
• Order business cards making.
• Maintain clean, tide and safety office. Organize and control work of cleaners.
• Cooperate with landlord on issues connected with rented area maintenance.
• Prepare invitation letters, visas, external passports, ticket and hotel booking for employees going on business trips and for coming guests.
• Provide administrative support to employees: make translations of correspondence from/into English, copying, scanning, and laminating of documents.
• Optimize company expenditures connected with office and cars maintenance, mobile and telephone communications, hotels and tickets.
• Organize uninterrupted work of telephone and computer networks. Every day pick up backups of server data to the bank.
• Coordinate workload of IT outsourcing.
• Organize registration, vehicle inspection, service maintenance, sale and delivery of company cars and fuel cards to employees. Car insurance follow-up.
• English - fluent
